Bullpen & Staging

Bullpen volunteers locate Bolt swimmers in the bullpen area 2-3 events ahead of their actual race and start the lineup. Kids are lined up in order of each heat for their event before they are sent to the staging area, then to the chairs behind the diving blocks. At each checkpoint, parents confirm swimmers are there and in the proper order. For relays, the bullpen manager gives "lane tickets" to each relay team to give to the timer upon arriving at their assigned block. Teachers and parents who can manage large groups of kids are perfect for this role.

Cleanup/Teardown (Home Meets Only)

Parent volunteers stay after the meet to move tables and chairs back around the pool deck, remove starting blocks and store them by the clubhouse, take out trash, and pick up litter around the pool area. The goal is to leave the area in its original condition before the swim meet. 

Computer Data Entry/Scoring (Works both first & second sessions)

Parent volunteers work inside the clubhouse at the scoring table during each meet. At home meets, one parent will average times, another will enter the times into the computer, and another will check the results and prepare ribbons for the visiting team. At away meets, only one parent is required to work at the scoring table to verify results. If you type quickly or have experience with “10 Key” please strongly consider this position to help the team post results and score the meet quickly. 

Concession Worker (Home Meets Only)

Parent volunteers will staff the concession stand to sell food, snacks, and drinks to everyone attending the meet.

Arrival Parking/Directing Traffic (Home Meets Only)

These volunteers help direct traffic in and around the pool area. Once the lot is full, direct people to park along the streets, avoiding the No Parking areas. Prevent cars from blocking the intersections and help keep walkers safe as they near the pool area.  

Beads for Heat Winners (Home Meet Only)

Gives out beads to the first-place winner of EACH heat, no matter if it is a Bolt swimmer or the opposing team.

Runner (Home Meet Only)

Collects the time sheets after each heat from all the timers and delivers them to the scoring table for data entry. Wear comfortable shoes.

Setup (Home Meet Only)

Arrives at the meet early to screw in the starting blocks, set up an official table with umbrella by the pool deck, remove tables and chairs around the pool deck, block off the kiddie pool area, move tables into the concession area, set chairs in both team's staging area, set out trash bins in the visitor area, behind the clubhouse, and around the pool deck, help as requested.

Stroke & Turn Official

Must go through online training to become certified to oversee the swimmers during events to enforce rules, ensure safety, and guarantee fair competition. Works directly with the Head Official for meet scheduling.

Timer

  • Attend the timer meeting before the meet begins.
  • Partner with a timer from another team to record times for swimmers in your assigned lane.
  • Verify each swimmer’s name on the lane timesheet before the race.
  • Start both stopwatches (one serves as a backup) when you see the strobe light flash from the starting system—not when you hear the start tone.
  • Stop the watches when the swimmer touches the wall at the finish.
  • Record both times to the nearest hundredth of a second (.01) on the lane timesheet after each heat.
  • Give the completed timesheet to the runner for data entry.
  • Wear comfortable shoes, bring drinking water, be prepared to get wet while working poolside.

Important Timer Notes

  • Your recorded times should closely match your partner’s. Large discrepancies can affect a swimmer’s official time and their eligibility for the county meet.
  • If one of your watches fails to start, notify the backup timer immediately.
  • Reset both stopwatches before the next heat.
